4. Purchases & Payments
- A. By purchasing a Booking, you represent and warrant that you are at least eighteen (18) years of age and are authorized to act on behalf of all persons on your Booking.
- B. All Bookings are subject to availability, may change at any time without notice prior to Booking confirmation, are capacity controlled, may not be available on all dates or with all flights, and are not confirmed until full payment is received. All prices and fees stated herein as well as on our Sites and in our promotional materials, including Booking prices, are quoted in U.S. dollars unless otherwise stated. Amounts paid at non-US locations may be billed in local currency; the actual price may vary based on the exchange rate. Payments processed outside of the United States may incur a foreign transaction fee from your card issuer. Taxes due at hotel are estimated; if tax rates have increased by your stay date, you may be required to pay taxes at a higher rate. In the event of a pricing error, as determined by us in our sole discretion, we reserve the right to refund the Booking back to the original form(s) of payment.
- C. Except as may otherwise be expressly disclosed, all Booking prices will include (i) airfare (including government taxes and fees applicable to airfare which are subject to change as required by law); and may include (ii) hotel rates (including estimated hotel taxes/fees); (iii) rental car rates (including estimated rental car taxes/fees); (iv) airport transportation; (v) optional travel charges for air (e.g., EarlyBird Check-In®, Upgraded Boarding, Extra Legroom seats, Preferred seats, etc.). Depending on your selections, Booking prices may include amounts for products and/or services that are due in full when making the Booking (i.e. “total due today”) and/or at your final destination (i.e. “due at location”), including without limitation: paid seats, ancillaries, additional ancillary car rental costs and corresponding estimated taxes and fees (e.g. underage driver charges, car seats, and additional rental equipment), tips, gratuities, energy surcharges, environmental levies, and pet fees.

- ii. Vacation Travel Credit: We accept Vacation Travel Credit for your travel. VTCs can be used to purchase a new Getaways Booking or to pay for modifications to an existing Getaways Booking. VTCs cannot be used to pay for optional travel charges (e.g., EarlyBird Check-In®, Upgraded Boarding, Extra Legroom seats, Preferred seats, etc.) on a Getaways Booking.
- iii. You may use up to eight (8) VTCs and three (3) credit cards per transaction for a Getaways Booking.
- iv. The following forms of payment are accepted via the Getaways Sites in place of the three (3) credit cards and only one may be used per transaction for a Getaways Booking (excluding optional travel charges (e.g., EarlyBird Check-In®, Upgraded Boarding, Extra Legroom seats, Preferred seats, etc.)): PayPal and Apple Pay.
- F. Full payment of the “total due today” amount of your Booking is required at the time of check-out for your Booking. Adjustments to the Booking price will not be made after payment is received, and price reductions will not be retroactively applied.
- G. Name Corrections and Changes. Getaways does not allow for name changes from one person on the Booking to another person. However, name corrections for misspellings or legal name changes can be made by contacting us. In the case of a legal name change for an individual, the person must contact us to provide proper documentation (e.g., amended birth certificate, divorce decree, etc.) to complete the change. If you are the Lead Traveler on a rental car reservation and your name in the Booking is misspelled or legally changes, you will need to contact us to cancel and purchase a new Booking. If you decide to change a person on the Booking or need to cancel your Booking due to a name misspelling or legal name change, a new reservation will be required and must be purchased at the current available Booking price.
- H. Any rates or discounts issued by parties outside of Getaways by Southwest™ will not be honored.
5. Bookings, Products & Services
- A. All Bookings are subject to these Terms, are non-transferable and cannot be used by any persons other than the Lead Traveler and persons on the Booking. Bookings displayed on the Getaways by Southwest™ Sites may not be available at all times and may be substituted or discontinued at any time. Limited quantities are available.
- B. Age restrictions imposed by Travel Suppliers may apply (e.g., some hotels may require that at least one guest be twenty-one (21) years of age or older, and some rental car companies may require that at least one guest be twenty-five (25) years of age or older).
6. Change, Cancellation, Refund, and No-Show Policies for Purchased Bookings
- A. Voluntary Full Booking Cancellation.
- i. You must complete all cancellations at least ten (10) minutes prior to your first flight's original scheduled departure time, or your Booking funds will be forfeited as set forth in our No-Show Policy below. If you cancel your entire Booking more than seventy-two (72) hours before departure, it will not be subject to Travel Supplier penalties (as defined below). However, cancellations within seventy-two (72) hours and up to ten (10) minutes prior to your first flight's original scheduled departure time may be subject to Travel Supplier penalties, including penalties that may increase between seventy-two (72) hours and ten (10) minutes prior to your first flight's scheduled departure time, as outlined in your Booking information (collectively, “Travel Supplier penalties”). Travel Supplier penalties vary by Travel Supplier, and may result in forfeiture of Booking funds attributable to the non-air components of your Booking. Any eligible residual funds associated with canceling your entire Booking at any time are non-refundable but will be issued in the form of a VTC divided equally among each person on the Booking (less any optional travel charges and Travel Supplier penalties).
- ii. If the unmodified Booking is canceled within twenty-four (24) hours of purchase, a refund will be issued to the original form(s) of payment, less any optional travel charges. However, if the cancellation within twenty-four (24) hours of Booking also occurs within seventy-two (72) hours and up to ten (10) minutes before the first flight's original scheduled departure time, the refund to the original form(s) of payment will be less any optional travel charges, and Travel Supplier penalties.
- iii. You cannot voluntarily cancel individual products of your Package.
- iv. Persons who engage in any prohibited booking practices as set forth in the Southwest Airlines Contract of Carriage in Section 2.a.(2).(vi) may have their Booking canceled, and all remaining funds will be forfeited.
- B. Voluntary Booking Changes.
- i. If your plans change and you need to modify your entire or part of your Booking prior to departing on your vacation, please contact us.
- ii. If you make changes to the non-air components of your Booking more than seventy-two (72) hours before your first flight's original scheduled departure time, they will not be subject to Travel Supplier penalties. However, any changes you make within seventy-two (72) hours and up to ten (10) minutes prior to your first flight's original scheduled departure time to non-air reservations may be subject to Travel Supplier penalties. After that time, changes, cancellations, or additions to the hotel, rental car, and/or airport transportation portions of your Booking are not permitted. You and all persons in your Booking may utilize the same-day change and same-day standby benefits for airfare and flights. You and all persons in your Booking may also make changes to your return flights after departing on your outbound flights.
- iii. Additionally, any changes you make to your Booking at any time may result in a
difference of Booking price:
- • You will be responsible for paying any increase in the Booking price at the time you make the change
- • If the change you make creates a decrease in the Booking price, the difference will be issued in the form of a VTC divided equally among each person on the Booking (less any optional travel charges, and Travel Supplier penalties).
- • Refunds will not be provided to the original form of payment.
- iv. While you are permitted to alter one-way or both ways of your flight itinerary on your Booking, you may not cancel only one-way of your flight itinerary.
- v. Some optional travel charges (e.g., EarlyBird Check-In®, Upgraded Boarding, etc.) and all purchases are non-refundable and will not be refunded or credited, even in the event a modification results in the removal of the optional travel charge.
- vi. The value of any unused or partially used reservations will be forfeited.
- C. No-Show Policy.
- i. If you or any other person in your Booking does not cancel the Booking at least ten (10) minutes prior to the first flight's original scheduled departure time, then that person's portion of the Booking will be canceled as a no-show and all of the unused funds corresponding to that person will be forfeited. If all persons within your Booking no-show, all components and funds within your Booking will be forfeited.
- ii. If the Lead Traveler is unable to take the first flight in the Booking itinerary, the Lead Traveler must contact us at least twenty-four (24) hours prior to the first flight's original scheduled departure time and must designate another person within the Booking to be the Lead Traveler. This new Lead Traveler must be over the age of eighteen (18) and meet any specific requirements of applicable Travel Suppliers. Failure to cancel and designate a new Lead Traveler at least twenty-four (24) hours prior to the first flight may result in (i) an inability for any additional traveling persons to check in for various reservations of their vacation Booking or components within their Booking, and/or (ii) forfeiture of associated funds. In the event that any of the components of the Booking are forfeited, the cost of rebooking the forfeited reservations will be the responsibility of the remaining persons on the Booking. For more information about Lead Travelers, please click here.
- D. Air Oversale Policy. In addition to the procedures set forth in Southwest Airlines' Contract of Carriage in Section 9, in the event you are denied boarding on a Southwest Airlines flight involuntarily due to an oversale, you may submit a request for reimbursement via the Help Center for the value of the unused portion of your Booking if we are unable to reaccommodate you in a timely manner. In the event Southwest Airlines requests volunteers for denied boarding due to an oversale, and you accept the compensation offer and alternate flight option, you will not be reimbursed by Getaways for any portion of the Booking you do not complete.
- E. Refusal to Transport Policy. As set forth in and in addition to other grounds outlined in the
Southwest Airlines'
Contract of Carriage, you may be refused transport to or from your vacation destination in the
following situations:
- i. If you do not check in at the airport and are not present at the gate at the required time (ten (10) minutes prior to departure), and do not possess proper documentation, Southwest Airlines may cancel your reservation without notice. This will result in the forfeiture of funds associated with the Getaways Booking.
- ii. If you are refused transportation or are removed from a Southwest Airlines aircraft due to reasons listed in the Contract of Carriage in Section 6.a. and cannot be reaccommodated due to schedule or availability, you will be able to submit for reimbursement via the Help Center for the value of the unused portion of your Booking.
- iii. If you are refused air transportation by Southwest Airlines due to reasons outlined in the Southwest Airlines Contract of Carriage in Section 6.b. (e.g., intoxication, under the influence of illegal drugs, etc.) you will not be reimbursed for any portion of the Booking you do not complete.
7. Travel Advisories for Flights
- A. Southwest Airlines may issue a Travel Advisory for flights that could be impacted by a disruption (e.g., forecasted winter storm, hurricane, etc.), and Travel Advisories can be found here. Please know that a Travel Advisory does not mean that your flight has already been or definitely will be impacted by a delay or cancellation. However, if your flight has been delayed or canceled, please see our policies below related to Flight Initiated Irregular Operations.
- B. The Travel Advisory may include impacted airports, dates, and guidelines for eligible flight modifications at no additional cost, such as how many days on either side of your original travel dates you may rebook and cities that you can rebook to or from. Only one flight modification that meets the Travel Advisory guidelines is allowed at no additional cost.
- C. All non-air change(s) in response to a Travel Advisory will be considered a voluntary
modification, and any
applicable Travel Supplier penalties may apply. If you make any flight modifications outside of the
Travel Advisory
guidelines, these will also be considered voluntary modifications. If you decide to cancel any of
your non-air
reservations or your whole Booking in response to a Travel Advisory, this will be considered a
voluntary cancellation,
and any applicable Travel Supplier penalties may apply. It is important to know that when you make
voluntary
modifications and cancellations:
- i. Any increases in Booking price and any applicable Travel Supplier penalties will be your responsibility to pay.
- ii. Any eligible residual amounts from a cancellation or modification with a decrease in your Booking price (less any optional travel charges, and Travel Supplier penalties) will be issued as a VTC divided equally among each person on the Booking if prior to departure on your Getaways trip.
- iii. The value of any unused or partially used airfare will be issued as a VTC divided equally among each person on the Booking (less any optional travel charges, and Travel Supplier penalties) and any used or partially used non-air reservations will be forfeited if it is after you have departed on your Getaways trip.
8. Flight Initiated Irregular Operations Policy
- A. If one or more of the flights on your Getaways Booking is canceled, or significantly delayed or changed as defined in the Southwest Airlines Contract of Carriage within seven (7) days of your scheduled departure, the following policy will apply:
- B. Regardless of the reason for the flight cancellation or significant delay or change, you will be eligible for reaccommodated flight(s) to your destination at no additional cost to you or, if you do not complete travel, a refund of your unused airfare to the original form(s) of payment (or you may opt prior to departure to receive that amount as a VTC divided equally among each person on the Booking). If you purchased any Southwest Airlines optional travel charges for your flight(s) but were unable to use them due to the flight cancellation or significant delay, you will also receive a refund to the original form(s) of payment for those charges.
- C. If the flight cancellation or significant delay or change was due to reasons within Southwest
Airlines' control
(e.g., mechanical problems, aircraft swap) and results in a need for non-air reservation
reaccommodations or
cancellations, you will be eligible for a waiver of any Travel Supplier penalties and/or reasonable
and comparable
non-air reaccommodations at no additional cost to you.
- i. Any eligible residual amounts from unused non-air reservations (less any optional travel charges) that are canceled or decreases in Booking price as a result of the flight cancellation or significant delay or change that was within Southwest Airlines' control will be issued (less any optional travel charges) as a VTC divided equally among each person on the Booking, or you may opt to receive the amount as a refund to the original form(s) of payment.
- D. If the flight cancellation or significant delay was due to reasons beyond Southwest Airlines'
control (e.g., weather,
Air Traffic Control, safety/security-related events, FAA-required crew duty limitations,
infrastructure/utility
problems) and results in a need for non-air changes or cancellations to your Booking, you will be
responsible for paying
any Travel Supplier penalties that apply and any increases in Booking price.
- i. Any eligible residual amounts from unused non-air reservations (less any optional travel charges and remaining Travel Supplier penalties) that are canceled or decreases in Booking price as a result of the flight cancellation or significant delay that was beyond Southwest Airlines' control will be issued (less any optional travel charges, and remaining Travel Supplier penalties) as a VTC divided equally among each person on the Booking.
9. Flight Schedule Revision
- A. If one or more of the flights on your Getaways Booking is canceled, or significantly delayed or changed as defined in the Southwest Airlines Contract of Carriage eight (8) days or more prior to your scheduled departure, we will attempt to automatically reaccommodate impacted flight(s) and the following policy will apply:
- B. If your new flight(s) remain on the same calendar day in the destination time zone as your
original travel dates:
- i. We will make reasonable efforts to notify you of your new flight itinerary. You are allowed to make up to two changes to your flight itinerary, as long as the new flights are within fourteen (14) days of your original travel dates. However, any changes to non-air reservations or any additional flight changes beyond the two allowed flight changes will be considered voluntary. Any price increases to your Booking for voluntary changes will be your responsibility to pay. Any Booking price decreases resulting from voluntary changes will be issued as a VTC divided equally among each person on the Booking (less any optional travel charges). Any changes made within seventy-two (72) hours of departure will also be subject to Travel Supplier penalties.
- ii. You may cancel your Booking and receive a refund to the original form(s) of payment for your unused airfare and any optional travel charges purchased for your flights (or you may opt to receive your airfare as a VTC divided equally among each person on the Booking). The non-air funds of your Booking will be issued as a VTC divided equally among each person on the Booking. Cancellations of non-air reservations will also be subject to Travel Supplier penalties. Please cancel your Booking at least ten (10) minutes before your first flight's original scheduled departure time.
- C. If Southwest Airlines moves the outbound or return flights on your Booking to a different
calendar day in the
destination time zone:
- i. We will make reasonable efforts to contact you about your flight itinerary and any updates needed for the non-air reservations in your Booking to match your new flights. Once we contact you, you will have fourteen (14) days from the date of contact to either: (a) make at no additional cost to you any reasonable and comparable non-air changes that are a direct result of the flight schedule revision or (b) to cancel your Booking and receive a refund to the original form(s) of payment for your Booking (less any any Travel Supplier penalties) or be issued a VTC divided equally among each person on the Booking for your vacation Booking (less any Travel Supplier penalties).
- ii. After fourteen (14) days from the date the initial notification is sent:
- • Air modifications at no additional cost or cancellations with a refund to original form(s) of payment: you are allowed to make up to two additional changes to your flight itinerary, as long as the new flights are within fourteen (14) days of your original travel dates, or you may cancel your Booking and receive a refund to the original form(s) of payment for your unused airfare and any optional travel charges purchased for your flights (or you may opt to receive your unused airfare as a VTC divided equally among each person on the Booking).
- • Voluntary changes and cancellations: all non-air changes, cancellations, and any additional flight changes beyond the two allowed changes will be considered voluntary. Any price increases to your Booking for voluntary changes will be your responsibility to pay. Any price decreases resulting from voluntary changes or non-air cancellations will be issued as a VTC divided equally among each person on the Booking. Any changes or cancellations made within seventy-two (72) hours of departure will also be subject to Travel Supplier penalties.
10. Travel Supplier Issues
If a Travel Supplier has any issue that impacts your Booking, we will attempt to assist with Booking changes. Any Travel Supplier penalties for changes or cancellations to your Booking will apply. You will be responsible for paying any costs associated with any changes. The value of any unused or partially used amounts of your Booking will be forfeited.
Back to Top11. Loyalty Program
Getaways by Southwest™ is subject to the Rapid Rewards Terms and Conditions.
Back to Top12. Vacation Travel Credits
- A. Vacation Travel Credits will be issued anytime a Getaways Booking is modified resulting in a lower Booking price or is canceled more than twenty-four (24) hours after original purchase up to ten (10) minutes prior to the first flight's original scheduled departure time (less any optional travel charges, and Travel Supplier penalties) regardless of the form(s) of payment used. Subject to the limitations below, VTCs will be divided as equally as possible among all persons listed in the initial Booking regardless of age, type of ticket, and/or form of payment used. Lap Children who are added with all other persons during the initial Booking purchase will be eligible to receive a VTC. Lap Children who are added after the initial Booking purchase to an existing Booking will not be eligible to receive a VTC. All other persons on the initial Booking will be eligible to receive a VTC.
- B. If you elect to cancel a Booking or component within your Booking that used a VTC as a form of payment, your credit will be processed as a new VTC which will be equally divided among all the persons listed in the initial Booking. If a refund to the original form of payment is due when a VTC is used as a form of payment, the amount paid with a VTC will be issued as a new VTC back to the person associated with the VTC.
- C. VTCs may be transferred once between Rapid Rewards Members. The entire amount of the VTC will be transferred. Once the VTC is transferred, it cannot be reversed and cannot be transferred a second time. VTCs have an expiration date by which they must be used. Contact us to get more information about the balance and/or expiration date of your VTCs.
- D. You can use your VTC as a form of payment to purchase a new Getaways Booking (excluding optional travel charges (e.g., EarlyBird Check-In®, Upgraded Boarding, Extra Legroom seats, Preferred seats, etc.)) or to pay for modifications to an existing Getaways Booking (excluding optional travel charges (e.g., EarlyBird Check-In®, Upgraded Boarding, Extra Legroom seats, Preferred seats, etc.)). When applying a VTC as a form of payment for a Booking, the person associated with the VTC must be one of the persons on the Booking. The total value of the VTC will be fully applied towards the total cost of the Booking, except when the amount available on the VTC is greater than the payment amount required for the Booking (any unused amount on the VTC will remain on that VTC). When there are multiple persons and/or multiple VTCs used, VTCs will be applied across all persons in the Booking, not solely to the person named on the VTC, and in the order in which they are entered.
- E. VTCs from Getaways and flight credits from Southwest Airlines are not interchangeable. To learn more about flight credits from Southwest Airlines, please visit the Help Center here.
13. Travel Documentation, Requirements, & Confirmations
- A. Your Booking information will be emailed to you once you purchase your Booking. Please check the information carefully to ensure that all the information is correct and all persons' names exactly match the information on your travel documents. If you discover an error, please immediately contact us.
- B. Proper documentation is YOUR responsibility. The following information is based on current requirements for U.S. citizens at time of publication. This information may change - contact your destination consulate for the most current requirements on your travel date. Persons returning to the U.S. by air from any international destination must have a valid passport and may be denied boarding by the airline if the passport is damaged, mutilated, or has excessive wear. A “Passport Card” is not acceptable. If your name on your passport (or for non-U.S. citizens, “valid travel documents”) does not match your name on your travel documentation, you will not be allowed to travel. A passport valid for up to six (6) months past the date of completed travel is required when traveling internationally. Married or divorced persons traveling under names other than what is printed on their travel documents must supply a marriage license and/or divorce decree. If you are not a U.S. citizen, contact your destination's consulate or embassy to determine required entry documents.
- C. Passports are NOT required for travel within the continental U.S., Hawaii, Puerto Rico, and the U.S. Virgin Islands. However, travel to these U.S. destinations/ U.S. territories requires a valid state/government-issued picture I.D. or valid state-issued driver's license. Beginning May 7, 2025, if you are eighteen (18) years of age or older, your valid state/government-issued picture I.D. or valid state-issued driver's license must be compliant with the Real ID ACT in order to board domestic flights and access certain federal facilities. Visit dhs.gov/real-id for more information. If it is not compliant, visit tsa.gov/travel/security-screening/identification for alternate forms of acceptable ID. Any person who is denied boarding due to lack of proper documentation will have their vacation Booking cancelled. Failure to comply with the above requirements will result in you not being allowed to travel and no refund will be given.
- D. Certain countries may deny entry to travelers with even a minor criminal record, and if not a U.S. citizen, entry back into the U.S. Check with the U.S. Embassy and the embassy or consulate of the country being visited to ensure you can travel as planned. Getaways by Southwest™ does not accept responsibility if you are denied entry and cancellation penalties apply.
